Every year, the government department handles approximately 20,000 plan applications and receives hundreds of thousands of relevant forms. Managing this extensive volume of documents consumes substantial time and resources, involving tasks like recording, copying, distributing, delivering, and amending. This process often requires significant paper usage and storage space.
Nexify was tasked with modernizing the document processing platform of a government department. Our goal was to enable electronic submission of plans and documents, following a recommendation to develop a multifunctional electronic system. This system aimed to serve as a centralized digital platform for the receipt and processing of building plans.

Additionally, the platform includes diverse assistive features such as information sharing, direct contact with government officials for inquiries, and notifications for staying updated on the latest developments. Its multilingual capability further enhances accessibility by supporting various language systems, including Traditional Chinese, Simplified Chinese, and English, catering to a diverse user base and promoting inclusivity.

The Electronic Submission Hub empowers professionals and their teams responsible for plan preparation, along with over 30 departments and organizations engaged in plan processing, to efficiently manage, communicate, and refine building designs outlined in the plans.
Moreover, the system offers progress tracking functionality. This feature allows applicants to monitor the status of their submissions effectively. It facilitates more convenient communication between relevant processing departments and applicants, saving manpower and resources while enhancing the efficiency of plan processing.
